Policies
- No real medication is to be used in the Sim Center. None of the supplies and equipment in the Sim Center should be considered sterile or appropriate for actual patient use. Do not practice invasive procedures on each other. Students who use supplies or equipment inappropriately will be considered engaging in unprofessional conduct.
- Use of the defibrillator must be accompanied.
- Dress Code: The simulation center represents a patient care area. All learners and faculty are expected to wear appropriate or professional hospital attire. No open toe shoes are allowed.
- Food and drinks may NOT be consumed in the Simulation Learning Center. The equipment is very vulnerable and the center is considered a patient care area.
I. Time and Effort
A. Simulated Participants (SP)
Simulated Participants (SP) are subject to University of Utah Policy 5-401: Staff Compensation as PRN hourly employees.
- SPs should arrive at the time scheduled at the designated location. Wardrobe change, moulage, and pre-brief are built into the time scheduled.
- SPs will be compensated for the contracted time only.
- SPs are given one hour in addition to the scheduled time to learn the simulation script. The script is provided to the SP by the Program Manager no later than 48 hours prior to the event. The SP shall arrive at the event familiar with the simulation script.
- SPs will receive a minimum of 2 hours of pay for all roles: 1 hour to learn the simulation script and 1 hour minimum for simulation.
- SPs will be compensated for mandatory training on an hourly basis.
II. Scheduling and Cancellations
A. Scheduling
- All roles will be assigned at the discretion of the SP manager.
- Scheduling/casting will be confirmed by email with the actor.
- SPs will be notified of new roles by email as they are requested.
- SPs will monitor their own hours and sign-ups to ensure they do not go over 40 hours in 1 week (Saturday to Friday) and ensure they are not signed up for multiple shifts simultaneously.
- SPs are expected to attend and arrive on time for all roles that they commit to.
B. Cancellations and Compensation
- SPs will be notified by email and/or text if a simulation event is cancelled; in this case, SPs will be paid for the time they originally committed to.
- No compensation will be provided for shifts cancelled due to University closure.
III. Attendance and Performance
A. Attendance
- SPs are expected to be on time for all shifts. Arriving more than 10 minutes late will be recorded as a late event.
a) Two (2) late events within a semester will result in a meeting with the program manager.
b) Three (3) late events within a semester will result in a Memorandum of Expectations to outline and document plan of action.
c) Four (4) late events within a semester will result in disciplinary actions up to and including termination of employment with the Simulation Center. - We understand that illnesses and emergencies are often unavoidable. In the event the SP cannot attend a scheduled simulation, the SP is expected to notify the Program Manager as soon as possible.
a) If the SP calls out for a shift within 24 hours of the scheduled event, 0.5 missed events will be recorded in the SP record.
b) If the SP calls out within 12 hours of the scheduled event, 1 missed event will be recorded in the SP record.
c) Three (3) missed events within a semester will result in disciplinary actions up to and including termination of employment with the Simulation Center.
B. Performance
- Feedback on the SP’s performance will be provided by the Program Manager on an ongoing basis.
- In the event of performance issues or complaints from clients, the Program Manager will schedule a consultation with the SP in question; the Executive Director of Simulation will also be involved if warranted. Each event will be addressed on an individual basis and may result in disciplinary actions up to and including termination of employment with the Simulation Center.
IV. Confidentiality
A. Agreements
- All SPs are required to sign the Confidentiality and Video Recording Agreement upon hiring.
- At no point during or after their work at the Simulation Center should SPs discuss learner performance unless it is with the assigned faculty member, Program Manager, or the Executive Director of Simulation. Failure to comply will result in disciplinary actions up to and including termination of employment with the Simulation Center.

Overview: Promote fair and equitable allocation of the resources available within the College of Nursing Simulation Center (resources include staff, space, supplies, equipment, mannequins, & simulators).
I. Initial Scheduling Request for Space and Time in the CON Simulation Center
A. Anyone wishing to reserve space/time must complete a Simulation Reservation Request. Once submitted, a member of the Simulation Team will contact the primary contact in the reservation.

C. For questions related to standardized/simulated patient (SP) requests, please contact Sherri Kerney at sherri.kerney@nurs.utah.edu.
II. Scheduling Priority
A. Priority scheduling will be given to University of Utah College of Nursing Undergraduate Programs followed by Graduate Nursing Programs.
B. Scheduling for all other events will be done on a first-come first-serve basis (maximum 6 months advanced notice).
III. Scheduling Deadlines – Failure to meet these deadlines may result in cancellation of reservation.
A. 6 weeks prior to scheduled event. Drafts must be provided at this time:
- Simulation objectives and scenario overview (see addendum for Scenario Template)
- Set-up checklist (see addendum for Set-Up Checklist Template)
- SP script(s) overview (see addendum for SP Script Template)
B. 4 weeks prior to scheduled event:
Attend meeting arranged by Mandy Thomson with faculty/scenario creator, CON Simulation Educator and Sim Operations Specialist to review scenario.
C. 2 weeks prior to scheduled event, provide the following fully completed FINAL documents:
a. Full simulation scenario
b. Setup guide/checklist
c. Any handouts and/or electronic copies for display (for facilitators and/or learners)
d. Complete standardized/simulated patient script and/or prompts
D. The Executive Director of Simulation reserves the right to cancel any event if all information is not provided as requested.
IV. Cancellation
A. Reserved space that is cancelled less than four weeks in advance will be charged at 100%.
B. Events requiring Standardized Patient(s) cancelled less than four weeks in advance will be charged 100% of SP contracted time.
C. The Executive Director of Simulation reserves the right to cancel any event with application of the same cancellation charges/timeline.
